Participant Information

This page explains why the project is taking place, what participation involves, how information will be used and what choices participants have.

Who is running the project?

The project is delivered by Kalobrate, formally Fred Wellbeing Ltd.

Why are we doing this?

The project is testing whether improving leadership confidence and workplace response can make it easier for employees to receive support earlier when they are struggling.

We are collecting information before and after the leadership programme so we can understand whether anything changes.

Who can take part?

Employees who report to, are regularly supervised by, or work within the operational area of participating leaders may be invited to complete the employee survey.

People of all genders are welcome to participate.

The project has a particular focus on men's mental health because this is the purpose of the funding, but understanding the experience of the wider workforce is also valuable.

What will I be asked to do?

Survey participants may be asked to complete:

  • a baseline survey before the leadership programme
  • a follow-up survey after the sixth leadership session

The survey includes questions about:

  • mental wellbeing
  • anxiety and low mood
  • loneliness
  • experiences of support at work
  • help-seeking and signposting

Validated measures used within the evaluation include:

  • SWEMWBS
  • PHQ-4
  • UCLA 3-item Loneliness Scale

Some participants may also be invited to take part in a facilitated focus group.

Participation in surveys and focus groups is voluntary.

How are baseline and follow-up responses matched?

We need to compare responses before and after the programme without asking participants for their names.

Participants will therefore create a confidential matching code using:

  • the first two letters of the place where they were born
  • the number of older siblings they have
  • the final two letters of their mother's first name
ExampleLeeds + 1 older sibling + Susan = LE1AN

Participants should use the same code when completing the follow-up survey.

This code is used only to match survey responses. Responses using the code are treated as pseudonymised rather than anonymous.

Will my employer see my answers?

No individual survey responses will be shared with your employer.

Survey findings will be combined before being reported.

Kalobrate may provide participating organisations with summaries showing overall patterns, changes and areas for improvement.

Individual responses will not be attributed to named employees.

Where subgroup numbers are too small to report safely, results will be combined or withheld to reduce the risk of identification.

How will my information be used?

Data may be used to:

  • evaluate the project
  • compare baseline and follow-up results
  • understand workplace experiences
  • identify common areas where workplaces could improve
  • provide anonymised project reporting
  • produce anonymised case studies and shared learning

No personal data relating to individual employees will be shared with York and North Yorkshire Combined Authority.

Only anonymised and statistical information will be reported to the funder.

Where is data stored?

Survey responses are collected using Microsoft Forms and stored securely within Microsoft 365.

Access is restricted to authorised project personnel.

Data used for analysis will not contain participant names.

Project-related personal data will be securely retained in line with the project's data retention requirements and applicable data protection law.

Do I have to take part?

No.

Taking part in surveys and focus groups is voluntary.

Choosing not to participate will not affect your employment or access to workplace support.

Participants may stop completing a survey before submitting it.

Once anonymised or aggregated data has been incorporated into analysis, it may no longer be possible to identify and remove an individual's response.

Some questions may feel personal

The survey includes questions about mental wellbeing, anxiety, low mood and loneliness.

Participants should only answer questions they are comfortable completing.

The survey is not a diagnosis or clinical assessment.

If completing the survey raises concerns about your wellbeing, please consider speaking with your workplace support service, GP or another appropriate health professional.
